POSITION DESCRIPTION: This position provides project management within the Planning and Development Department with a focus on projects associated with contracting, integrations, acquisitions and other miscellaneous projects as assigned.
Project management support includes identifying process improvements, timeline management, resource allocation and information management.
ESSENTIAL JOB FUNCTIONS: Provides project management for Division leadership to plan and execute the five types of growth programs (Satellites, Moves, Transitions, New Practices and Acquisitions) through project scheduling and tracking.
Provides project management for miscellaneous projects related to contracting and provider support services as assigned.
Coordinates and facilitates meetings, prepares reports and analyses, and provides overall support, mainly through coordination with Central Departments, to make sure all tasks get done on time and on budget.
Participates in work groups to continuously improve the Planning & Project Management Operating System.
Schedules, manages and runs relevant meetings, by developing agendas, ensuring correct attendees are notified, and completing follow-ups.
Also, pro-actively identifies and raises issues and makes recommendations, as well as collaborates with Division leadership to ensure timely communication and updates on projects.
Works with Division leadership and finance to ensure pro formas are complete and up to date when necessary.
Serves as a connector between the Central Departments and Divisional leadership to plan and execute each unique program.
Establishes effective communication between and within the Central Departments and Divisional leadership and promotes transparency as a guiding principle within program teams.
Ensures that all relevant documents are maintained in a shared area (e.
g.
, Microsoft Teams) with up-to-date information and locations that are easily accessed by all team participants.
Manages relationships and expectations throughout the launch and reflection of each growth program.
All other duties as assigned.

ESSENTIAL QUALIFICATIONS: EDUCATION: Bachelor’s degree in business, health care administration, science, education or engineering or a related field required.
Master’s degree preferred.
CREDENTIALS/LICENSURE: N/A MINIMUM EXPERIENCE: At least two years of experience leading and managing project work in healthcare, banking, engineering, manufacturing, marketing, information technology, education, or military service.
Previous experience working to provide high level support in an administrative or executive level environment.
Previous experience working with project management applications and presenting complex issues or analyses.

Masters the use of SmartSheets to manage project work, with support if necessary.
Becomes fluent in all of the tasks performed by each Central Department and Divisional leadership listed in each section of the program SmartSheets.
Exceptional organization skills with the ability to manage multiple projects simultaneously, occasionally with support.
Ramps up the number of projects supported by following a “observe, partner, lead” approach while onboarding.
Observe: watch other project managers as they facilitate meetings such as intake form meetings, design reviews, or weekly divisional touch bases.
Partner: assist other project managers as they facilitate meetings or complete project management tasks.
Lead: take on full ownership of one or more programs, with occasional support.
Ability to work effectively, occasionally with support, with various levels of organizational members and diverse populations including IHA staff and management, senior management group, site medical directors, division heads, providers, patients, family members, outside customers, vendors, hospitals and community groups.
Exhibits a systems and process mindset.
Knowledge of industry-appropriate terms generally used in project management.
Experience with or willingness to learn about project management methodologies, tools or software.
Ability to identify key contacts for project success, with minimal supervision or support.
Excellent communication skills in both written and verbal forms, including proper phone etiquette.
Ability to write understandable and unambiguous project documents.
Ability to speak before groups of people (either in-person or virtual) and apply consultative skills to work effectively within assigned areas of the organization.
With minimal supervision or support, is able to facilitate a group discussion, effectively manage meetings and reconcile differing points of view to make decisions on difficult project issues.
Aptitude to extract data and combine into meaningful end user reports; ability to analyze and interpret data and develop presentations, reports, occasionally with support.
High-level of proficiency in operating a standard desktop and Windows-based computer system, including Microsoft Office (Excel, Access, Outlook, Word, PowerPoint), email, e-learning, intranet and computer navigation.
Willing to gain an overall understanding of IHA structure and workflow processes throughout the organization and ability to provide analytic support for the company structure.
Ability to handle patient and organizational information in a confidential manner.
Ability to drive to other office/practice sites and meeting and training locations.
Successful completion of IHA competency-based program within introductory and training period.
